Executive Assistant to President (Full-time, Year-round)

Job Summary:

The Executive Assistant to President provides project, administrative, and clerical support to the President of Divine Savior Holy Angels (DSHA) High School and the DSHA Board of Directors to assist with achieving the goals of the school.  Also interacts extensively with the internal and external high school community and with members of the Administrative Team, Strategic Council, Advancement Department and Board of Directors.  In this role, the Executive Assistant to President is a key ambassador for DSHA and embraces and exhibits dedication to our mission to all our constituents.

Compensation:

Approx. $23-32/hour based on experience, plus competitive benefits package

Responsibilities:

  • Provides comprehensive administrative support to the DSHA President, including facilitating confidential information, completing general correspondence, work processing, etc.  Maintains the President’s calendar and travel schedule.
  • Provides administrative support to the to the DSHA Board of Directors, including preparing agendas and materials for the meetings, facilitating confidential information, and managing the use of DropBox, taking, and compiling of minutes and keeping official records of Board business and bylaw changes.  Provides administrative support to the to the Board Governance committee, including preparing agendas and materials for the meetings, facilitating confidential information, and managing the use of DropBox, taking, and compiling of minutes and keeping official records of committee business.  Attends the Finance and Building Grounds committee meetings and takes minutes for distribution. Attends the Board Governance Committee and takes minutes for distribution. Responsible for ensuring Board and committee compliance with Board Bylaws.
  • Works with Community Relations Officer to identify local leaders, prospective parents and community influencers in order that DSHA can be introduced to them in a timely and effective manner.  Monitors obituaries daily to identify if a DSHA presence is needed at wakes and funerals.  Briefs the president as needed. 
  • Upon behalf of the President and Principal, serves as the liaison for the DSHA Parent Association for room reservations, meeting notices and parent education events.
  • Assumes responsibility for various projects as delegated by the President: maintaining high school archives, enriching RE database by social media research, researching best practices in external relations at other high achieving high schools
  • Takes lead role in planning, coordination, and hospitality for several DSHA functions, including but not limited to: Senior Honors Night, Baccalaureate, multi-cultural performance reception, in-service breaks and meals, Total School Community (TSC)/Board Christmas lunch and the August opening TSC party.
  • Takes lead role in planning, coordinating, and participating in the DSHA graduation service and the TSC event that is part of the ceremony, including recommending and coordinating vendors, negotiating contracts, and preparing purchase orders.
  • Facilitates the annual Christmas in the Quad event and award luncheon.
  • Oversees the annual DSHA Thanksgiving Card mailing.
  • Completes other duties as assigned.

Education and/or Experience:

Position requires a bachelor’s degree and five to seven years of experience in a support role for a senior leader. Project management and event coordination experience are required.

Knowledge, Skills and Abilities:

Effective oral and written communication skills are required.  Evidence of sound and effective decision-making ability, discretion and strict adherence to confidentiality is necessary.  Ability to communicate effectively with a diverse population of people at all levels of the organization.  The ability to stay focused in an area with frequent interruptions is required.   

Strong proficiency with MS Office is required, some database experience is required and familiarity with social media is preferred.  High level of accuracy and strong writing skills are required. Ability to maintain calendars and schedule appointments is required.  The ability to prioritize duties and to deal with stressful situations is required.  Notary commission is strongly recommended. Must be available for occasional weekend and evening work. Access to reliable transportation is required.

Physical Demands: 

While performing the duties of this job, the employee is frequently required to stand; talk or hear; and use hands to finger, handle, or touch objects or controls.  The employee is frequently required to stand and walk.  On occasion the incumbent may be required to stoop, bend or reach above the shoulders.

The employee must occasionally lift up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment: 

The work takes place in primarily an office/school environment.
